WHATSAPP FLOWS

Forms that open inside WhatsApp — no browser, no landing page.

WhatsApp Flows are Meta's native in-chat forms: a customer taps a button and a multi-screen mini-app opens right inside the conversation — text fields, dropdowns, date pickers, radio buttons, and checkboxes — filled and submitted without ever leaving WhatsApp. Build them in a visual editor, send them from any automation, and take real appointments with live availability slots. Data exchange is encrypted end to end. Free plan includes 1 Flow; Professional includes 10.

Three things every D2C team already lives with

Mobile web forms leak most of the leads before submit

A customer is already chatting with you on WhatsApp — then you send a link to a web form. They tap it, a browser opens, they lose the keyboard, they get pulled into another app, and they never come back. Web forms on mobile are the leakiest part of the funnel, and on a WhatsApp-first audience they're indefensible: you had the customer in the conversation and handed them a reason to leave it.

Booking over back-and-forth chat is slow and error-prone

"Which doctor?" → "Dr. Mehra" → "What day?" → "Tuesday" → "Morning or evening?" → "Morning" → "Sorry, that's full." Collecting a structured booking one message at a time is tedious for the customer and easy to get wrong — double-booked slots, missed details, no clean record at the end. It doesn't scale past a handful of bookings a day.

A "WhatsApp form" is often just a Google Form link

Plenty of tools that claim a WhatsApp form builder simply paste a Google Forms or Typeform URL into the chat. That's a web form with a WhatsApp doorway — same browser redirect, same drop-off. A real WhatsApp Flow renders inside the thread the customer is already on.

The four pieces

What you actually need to run WhatsApp marketing at scale

A real form, inside the chat

WhatsApp Flows are Meta's native form component — the customer taps a button and a multi-screen mini-app opens inside the conversation. Collect exactly what you need with text fields, dropdowns, date pickers, radio buttons, and checkboxes across one or several screens. No browser, no redirect, no login — they fill it and submit without leaving WhatsApp.

Appointment booking with live availability

Turn a Flow into a real booking engine: it reads your live availability, shows only open slots, and books the one the customer picks — with rescheduling and cancellation handled right in the chat. Concurrency-safe, so two people can never grab the same slot. Ideal for clinics, salons, consultations, and services.

Built visually, exchanged securely

Design each screen in a visual editor with validation on every field, so bad data never saves. Dynamic Flows — the ones that pull live data like available slots — exchange their request and response over Meta's encrypted data channel with per-number keys, so what the customer enters stays private in transit.

Send from anywhere, capture every submission

Trigger a Flow from a bot automation, a button, or a template — the moment it fits the conversation. Every submission is captured against the contact and the conversation, so nothing is lost. Need it in another system? A bot flow can call your own API mid-conversation, and webhooks forward the event to your stack.

Scenario 01 / Appointment booking (healthcare)

A clinic booking form that renders in WhatsApp, not in a browser.

A multi-speciality clinic sends a booking Flow instead of playing calendar tag. The patient taps once and a single in-chat card opens: doctor (dropdown of five), preferred date (date picker), and slot (radio — only the slots that are actually free that day). They tap Submit without leaving WhatsApp; the slot is booked, and the confirmation — with time, room, and an add-to-calendar button — fires automatically. Rescheduling and cancellation happen the same way, in the same thread.

  • Native in-chat form — no browser, no redirect, no link to follow
  • Live availability — the Flow only offers slots that are genuinely open
  • Concurrency-safe booking — two patients can never grab the same slot
  • Reschedule and cancel handled right inside the conversation

Hi Aanya 👋 Book your consultation right here — pick a doctor, date and time. No link, no browser.

Scenario 02 / Enquiry capture (real estate)

Qualify a site-visit request in one in-chat form — not a five-message interrogation.

A property developer runs Click-to-WhatsApp ads. Every click opens a chat with a single "Book a site visit" button that launches a Flow: budget range (dropdown), preferred configuration (radio — 2BHK / 3BHK / villa), and a preferred visit date (date picker). One card, three taps, done — the enquiry arrives structured and complete instead of scattered across a dozen chat replies, and the sales team follows up with the details already in hand.

  • One tappable card replaces a long back-and-forth qualification chat
  • Dropdowns and radios keep answers clean and comparable across leads
  • Submission is captured against the contact for instant follow-up
  • Pairs with the bot flow builder to route hot leads to an agent automatically

Scenario 03 / Event registration (events)

RSVP and meal choice in a single card — straight from the invite.

A summit sends its invite as a WhatsApp template with a "Register" button that opens a short Flow: attending (radio — yes / no), and if yes, a meal preference (dropdown). Invitees register inside the thread they were invited in — no separate registration site, no login. The organiser gets a clean, structured list of confirmations and preferences instead of a pile of free-text replies to reconcile by hand.

  • Register from inside the invite — no external registration page
  • Radio and dropdown inputs keep every RSVP structured and countable
  • Screens adapt — decline and the form skips the follow-up questions
  • Confirmations captured against each contact for reminders later

FAQ

Common questions, honest answers

Don't see your question? Email me at mailto:[email protected] — I read and answer every one personally.

WhatsApp Flows are Meta's native form component: a structured, multi-screen form that opens inside a WhatsApp conversation when the customer taps a button. Instead of typing answers one message at a time or following a link to a web page, they fill fields — text, dropdowns, date pickers, radio buttons, checkboxes — right in the chat and submit. WhatsMark gives you a visual editor to build these Flows and send them from your automations.

A link opens a browser — the customer leaves WhatsApp, loads a page, maybe logs in, and often never comes back. A Flow renders inside the thread the customer is already on. There's no tab switch and no "did the page load" moment, which is exactly why in-chat forms convert far better than link-in-chat forms on mobile.

Flows support the standard native input types — short and long text fields, dropdowns (single choice from a list), radio buttons, checkbox groups, date pickers, and opt-in toggles — arranged across one or several screens. You can validate fields so incomplete or invalid entries can't be submitted, and later screens can adapt based on earlier answers.

Yes — appointment booking is a built-in use of Flows. The form reads your live availability and shows only slots that are actually open, books the one the customer picks, and handles rescheduling and cancellation in the same chat. Booking is concurrency-safe, so two customers can never be assigned the same slot. It suits clinics, salons, consultations, and any service that runs on appointments.

Flows run on the WhatsApp Cloud API. You build and publish a Flow inside WhatsMark, and once Meta approves it, you can send it into conversations from a button, a template, or a bot automation. If your number isn't Flow-ready yet, you can still collect information conversationally using the bot flow builder's question steps in the meantime.

The Free plan includes 1 Flow template, Professional includes 10, and Reseller is unlimited. Every submission is captured against the contact and the conversation, so nothing is lost. If you want the data in another system, a bot flow can call your own API mid-conversation and webhooks can forward the event to your stack.
