WHATSAPP FOR NGOs

Run fundraising and volunteer programs without your message getting lost in someone's spam folder.

Just ~32% of one-time donors ever give again, against ~87% of donors who give repeatedly (Neon One, 2024) — and the difference is largely whether they hear from you. WhatsMark sends thank-yous and 80G receipts the moment a gift lands, runs appeals to the right donor Groups, turns one-time givers into monthly ones, and coordinates volunteers — on the official Meta Cloud API, at 0% markup, with a free-forever tier.

Sound familiar?

Three things every D2C team already lives with

Donor receipts and 80G certificates go to email, never get read

The donor donates ₹5,000; the 80G certificate emails out; the email is never opened; come tax season the donor can't find it and re-asks. The receipt-trust loop breaks.

Volunteer coordination across chapters lives in personal WhatsApp groups

Five state chapters, five volunteer captains, five different group chats on personal phones. No central oversight, no audit, no way to broadcast a national appeal in a coordinated way.

Monthly-impact updates are mass emails nobody reads

The newsletter goes to an inbox that mostly ignores it, so donors never see how their money was used. Trust erodes, recurring gifts lapse, and every appeal starts from scratch. On WhatsApp — read within minutes — the update actually lands.

The four pieces

What you actually need to run WhatsApp marketing at scale

Donor thank-yous and 80G receipts, delivered cleanly

The moment a gift lands, your donation tool calls the WhatsMark API to send a thank-you carrying the 80G certificate as a PDF. The donor saves it in the chat they already use, and every send is logged against their record for your audit trail.

Fundraising appeals that reach the right people

Broadcast to donor Groups — "monthly donors", "lapsed past 6 months", "Mumbai contributors" — as a message with a donation button, track who tapped the link, and follow up only with the people who didn't give.

Turn one-time donors into monthly givers

A scheduled follow-up sequence nudges a one-time donor toward recurring giving with an impact update and a one-tap monthly option — closing the gap between the ~32% who give again and the ~87% who give repeatedly.

Volunteer coordination, not just a personal group

Shifts, training schedules, and event coordination run on a managed shared inbox with proper roles and audit trails — well past the ~256-member ceiling and zero accountability of a personal WhatsApp group.

Scenario 01 / Donor lifecycle

Thank donors, show them the impact their money is having.

The moment a gift completes on your Razorpay or website donation form, that system calls the WhatsMark API to send an instant thank-you with the 80G certificate as a PDF. A scheduled sequence follows with an impact update and photos a couple of weeks later, then a gentle "switch to monthly giving?" nudge. Recurring donors get a quarterly impact summary instead of a generic newsletter.

  • Your donation tool calls the WhatsMark API to fire the thank-you
  • 80G certificate PDF (generated by your tool) attached to the message
  • Impact updates sent on a scheduled sequence (T+14d, T+60d)
  • One-tap monthly-giving nudge for one-time donors

Scenario 02 / Fundraising drive

Run an appeal to the right donor Groups — not a blast to everyone.

A flood-relief drive goes to your monthly-donor Group first (highest-trust), then a lapsed-donor Group, then engaged non-donors. Each Group gets a different message and ask size, and a UTM-tagged donation link shows which Group converted at what rate — so you can follow up only with the people who haven't given yet.

  • Contact Groups (monthly donor, lapsed, non-donor) — not guesswork
  • Per-Group templates with different ask sizes and CTAs
  • UTM-tagged donation link → conversion tracked back to the Group
  • Delivered, read, and click analytics on every appeal

Scenario 03 / Recurring giving

Turn a one-time gift into a monthly donor .

One-time donors are retained at about 32%, repeat donors at ~87% (Neon One, 2024) — the gap is mostly whether they keep hearing from you. A scheduled sequence follows a first-time gift with a real impact update, then a one-tap "give ₹500 / ₹1,000 / ₹2,500 a month?" option that opens a link from your own donation gateway. The donor sees where their money went before they're ever asked to give again.

  • Scheduled sequence: impact update first, monthly-giving ask second
  • One-tap monthly amounts open a link from your own gateway
  • Group by gift size so the ask fits the donor
  • Runs on a channel read within minutes, not an ignored email

FAQ

Common questions, honest answers

Don't see your question? Email me at mailto:[email protected] — I read and answer every one personally.

Yes — when you use WhatsApp Business Cloud API and have proper opt-in. Donors who provide their number at donation time and accept communications consent are opted in for transactional and impact-update messages. Marketing-class broadcasts (fundraising appeals to people who haven't donated yet) require an explicit marketing opt-in. WhatsMark tracks consent per contact and per message category.

Yes — a message can carry a donation link generated by your own payment gateway (Razorpay in India, or any processor), dropped in via a flow step. The donor taps and pays on your gateway; when it confirms, it calls the WhatsMark API to send the thank-you and 80G receipt. The link and the payment are your gateway's; WhatsMark sends and follows up.

Your CRM or donation tool generates the 80G receipt PDF (most do this automatically) and calls the WhatsMark API with the donor's number and the PDF, and WhatsMark sends it attached to the thank-you message. The donor gets the thank-you and the receipt in one WhatsApp message — no separate email to lose.

You can connect up to 2 WhatsApp numbers on Free, 10 on Professional, and unlimited on Reseller — for example one per chapter — with a named team inbox each. Being clear about today: these run in one workspace with shared reporting, not fully isolated per-chapter sub-accounts with per-chapter branding; that broader capability is on the roadmap, not shipped.

The Free plan is genuinely usable for organisations starting out, with no time limit. For registered non-profits (valid 12A/80G or equivalent) we can discuss discounted pricing — email [email protected] with proof of registration.

A personal WhatsApp group tops out around 256 members and has no audit trail, no role-based access, and no scheduling. WhatsMark's shared inbox handles thousands of contacts with assignment, private notes, role separation between coordinators and volunteers, and full conversation logs for accountability.

Yes. A WhatsApp message supports images and video (Meta caps video around 16 MB per message); for longer films, paste a YouTube or Vimeo link. Visual impact updates are among the highest-engagement messages an NGO can send — and on WhatsApp they actually get opened.

Automation is most valuable precisely when the team is small, because it does the work nobody has hours for: the instant thank-you and 80G receipt the moment a donation lands, the reminder to a lapsed monthly donor, the volunteer shift confirmation, answering the recurring "how do I donate / is it tax-deductible / where does the money go" questions at any hour. None of that needs to feel cold — a templated thank-you that arrives in seconds with the receipt attached feels more respectful than one a volunteer remembers to send three days later. The donor relationship and the storytelling stay human; automation just makes sure the basics never slip, and frees your small team to spend its time on the cause instead of the admin.
