WHATSAPP FOR EVENTS & WEBINARS

More sign-ups, and the no-shows you've made peace with stop being inevitable.

Only 40–50% of registrants show up live, and 67% of no-shows say they simply forgot or got busy (2024). WhatsMark runs registration, calendar invites, a T-7d / T-1d / T-1h reminder sequence, and post-event follow-up on a channel where reminders open at ~98% — so more of the people who signed up actually turn up, at 0% markup.

Sound familiar?

Three things every D2C team already lives with

You register 1,000 and half the room is empty

Only 40–50% of registrants show up live, and 67% of no-shows say they simply forgot or got busy (WebinarNinja, 2024). The T-1h email is never read in time — it's a channel problem, not an interest problem.

Manual reminder sends eat a marketer's afternoon

Every event needs T-7d, T-1d, and T-1h reminders. Across four events a month, that's a dozen manual sends — each needing template approval, list building, and precise timing.

Post-event recordings get lost

The recording goes out by email the next day and most attendees never open it — the no-shows definitely don't. On WhatsApp it lands where people actually read it, scoped to whether they attended.

The four pieces

What you actually need to run WhatsApp marketing at scale

A reminder sequence built for events

A scheduled T-7d, T-1d, T-1h sequence runs on WhatsApp instead of email — each step carrying the speaker lineup, the agenda, or the join link, whichever fits that moment. Sending three reminders lifts live attendance about 27% over sending fewer (WebinarNinja, 2024).

Registration inside WhatsApp

A click-to-WhatsApp ad or a website button drops the prospect into a registration flow that captures name, email, and any custom field — they never leave WhatsApp. A flow step pushes the registration to your event platform via its API.

Post-event: recording, slides, follow-up

Same-day delivery of the recording link, slides PDF, and a feedback request. Feed the attendance status (joined / no-show) back from your platform and the follow-up branches — attendees get the recap, no-shows get a "we missed you, here's the replay" nudge.

Fill your next event

Group past registrants and attendees, then broadcast the next event as a swipeable carousel with a one-tap register button — with delivered/read/click analytics, and eligible sends auto-routed through Meta's cheaper MM Lite path.

Scenario 01 / Registration

Register attendees without the dropoff at the form.

A click-to-WhatsApp ad or a website button drops the prospect into a quick registration flow. Name, email, and any custom field captured in three taps. A confirmation goes out instantly with a calendar invite, the agenda, and a "save the link" prompt, and a flow step pushes the registration to Eventbrite, Airmeet, or your custom platform via its API. For paid events, a flow step drops in a payment link from your own gateway.

  • Click-to-WhatsApp registration with paid- and free-event variants
  • Calendar invite delivered as a link or button
  • Registration pushed to your event platform via an API step
  • Paid events: a payment link from your own gateway, in-chat

Scenario 02 / Reminder sequence

A T-7d, T-1d, T-1h cadence so fewer registrants forget to show up.

Each reminder lands at the right moment with the right context. T-7d nudges with the speaker lineup; T-1d sends the agenda and a "block your calendar" note; T-1h sends the join link and a pre-event tip. It runs as a scheduled Sequence configured once per event — no manual sends — and since sending three reminders lifts live attendance about 27% (WebinarNinja, 2024), more of your sign-ups turn up.

  • Three scheduled Sequence steps with configurable timing per event
  • Per-step content (speaker lineup, agenda, join link)
  • Registrants who reply opt-out (STOP) are removed automatically
  • Runs on a ~98%-open channel, not an ignored T-1h email

Scenario 03 / Post-event

Recording, slides, and follow-up scoped to whether they actually attended.

Feed the attendance status from your event platform — joined or no-show — back into WhatsMark by calling its API, and the follow-up splits accordingly. Attendees get the recording, slides, and a feedback request; no-shows get a "we missed you — here's the replay, plus a discount on the next session" nudge. Each is a template with the file and buttons attached, sent same-day while the event is still fresh.

  • Your event platform calls the WhatsMark API with attendance status
  • Recording, slides, and feedback request delivered in one message
  • Feedback captured as buttons; replies land in the shared inbox
  • Re-engagement template for no-shows with a next-event offer

FAQ

Common questions, honest answers

Don't see your question? Email me at mailto:[email protected] — I read and answer every one personally.

It attacks the real cause: 67% of no-shows just forget or get busy (WebinarNinja, 2024). A scheduled T-7d / T-1d / T-1h Sequence keeps the event top of mind on a channel that opens at ~98% versus ~20% for email, and sending three reminders lifts live attendance about 27% over sending fewer. We won't quote you a specific "2–3×" figure — we'd rather cite the benchmark than an unmeasured claim.

Yes, through APIs — WhatsMark doesn't receive arbitrary inbound webhooks, so the pattern runs both ways over APIs: a flow step pushes the registration to your platform, and after the event your platform calls the WhatsMark API with each attendee's status so the post-event follow-up can branch. A developer wires it once, or a Zapier/Make bridge handles it.

Yes — a flow step drops a payment link into the chat, generated by your own payment gateway (called via API Request). Once your gateway confirms payment, it can call the WhatsMark API to send the confirmation, calendar invite, and reminder sequence. The link comes from your gateway; WhatsMark sends and follows up.

You can connect up to 2 WhatsApp numbers on Free, 10 on Professional, and unlimited on Reseller, and keep each brand's conversations in its own named team inbox. Straight about today's reality: these live in one workspace, not isolated white-label sub-accounts per client — that broader reseller capability is on the roadmap, not shipped.

Registering is the opt-in for that specific event. Promoting future events to your wider contact base needs a separate marketing opt-in, which you can capture at registration with a checkbox in the flow. WhatsMark tracks opt-in state per contact, and an opt-out reply blocks future marketing sends automatically.

Yes — a WhatsApp template supports a PDF attachment, links, and interactive buttons. A single post-event template delivers the recording link, the slides PDF, and a buttoned feedback question, and the replies land in your shared inbox against the attendee's record.

Largely, yes. A flow takes the registration (and a payment link from your gateway for paid events), sends the calendar invite, runs the T-7d / T-1d / T-1h reminder Sequence, drops the join link at the right moment, and afterwards delivers the recording, slides, and feedback — branching on the attendance status your platform feeds back. Because WhatsApp reminders open at ~98% versus ~20% for email, they land without anyone manually chasing registrants, so your team runs more events instead of doing reminder admin.
