Sound familiar?

Three things every D2C team already lives with

Customer messages live on agents' personal phones

A shift change happens, the agent's phone is in their bag, the customer's "where is my order?" sits unread. Nobody has visibility. Conversations leave when the agent leaves. Compliance teams hate it.

No SLA, no audit trail, no escalation path

"Quick reply" buttons in the WhatsApp Business app weren't built for support workflows. There's no ticket state, no first-response timer, no way for a senior to step in mid-conversation.

Helpdesk tools handle email well, ignore WhatsApp

Your Zendesk or Freshdesk knows everything about the customer's email history but nothing about the WhatsApp conversation that started the issue. Two systems, half the context, full of context-switching.

The four pieces

What you actually need to run WhatsApp marketing at scale

Shared team inbox with assignment

Every customer message lands in one inbox visible to your whole team. Assign by round-robin, by skill, or by language. Reassign at any time. Each agent sees full conversation history — even if a colleague replied yesterday.

Internal notes that customers never see

Tag a senior agent with @mention inside a conversation, paste an order ID into a private note, drop a refund-policy reminder for the new hire — all invisible to the customer, all logged forever.

Chatbot for tier-1, human for the rest

A flow handles the top 5 routine questions ("where is my order?", "what's your return window?"). Anything outside the script escalates to a real agent with full chat history pre-loaded. No re-explaining.

AI assist so replies go out faster

One click rewrites a rushed reply into something clear and on-brand, or translates it into the customer's language, right inside the composer (on Professional). Canned replies cover the answers your team types twenty times a day.

Scenario 01 / Order issues (e-commerce)

Resolve order issues in one thread, not three tools

Customer messages about a missing item. The conversation routes to the e-com support team. The agent looks up the order — via a flow API step against your connected Shopify store — issues the refund in their own payment panel, and sends the resolution back in the same thread. Every step is logged against the customer's contact for a full audit trail.

  • Round-robin assignment to the e-com team, skip-rules for unavailable agents
  • Order details pulled from your Shopify store via a flow API step
  • Refund issued in your own payment panel; resolution noted back in-thread
  • Conversation history preserved for the customer's lifetime

Scenario 02 / Appointment management (healthcare)

Reschedule appointments without breaking the audit trail every clinic compliance team wants.

A patient asks to reschedule tomorrow's 10:30 AM. WhatsMark's built-in appointment system offers the nearest open slots; the patient picks one and the old slot reopens automatically. Reception sees the change in real time, booking events are forwarded to your HMS, and every step is logged with a timestamp and the staff member or bot that handled it.

  • Reschedule on the built-in appointment system — real open slots
  • Booking events forwarded to your HMS via webhook
  • Time-bound signed links for sensitive documents (reports, prescriptions)
  • Role-based access for reception, doctors, and billing

Scenario 03 / Mid-trip support (travel)

Be the local guide without staffing 24×7 in every destination.

A guest in Goa needs a late-checkout for Sunday. The chatbot fields the request, checks occupancy via a flow API step to your PMS, confirms the late-checkout, and routes a one-line internal note to the property manager so housekeeping is informed. The whole exchange takes 90 seconds. The guest sleeps in.

  • Chatbot handles the top routine on-trip requests (late checkout, taxi, amenities)
  • Property-manager assignment for escalations + internal-note context
  • One-click translate (Professional) replies in the guest's language
  • Occupancy checked via a flow API step to your PMS

FAQ

Common questions, honest answers

Don't see your question? Email me at mailto:[email protected] — I read and answer every one personally.

Yes — that's exactly what the WhatsApp Cloud API enables (and exactly what the regular WhatsApp Business app does not). With WhatsMark, every agent signs in with their own credentials. Conversations route to the right person via assignment rules. Internal notes and @mentions keep the team coordinated. The customer sees one number, one brand; your team sees a structured inbox.

The Business app is for one phone, one user, manual messaging. WhatsMark is built on the Cloud API: shared multi-agent inbox, automated chatbot fallback, ticket states, internal notes, helpdesk webhooks, role-based access. The moment your support team has more than one person on WhatsApp, the app stops scaling — you can't share login, you can't audit, you can't route.

Yes. Native via-API connectors for all three are on the roadmap; today the pattern is webhooks both ways — the helpdesk fires a webhook on ticket creation; WhatsMark fires webhooks on incoming customer messages and resolution events. Most modern helpdesks accept this without custom code. Conversation transcripts attach to the ticket so you have full context inside the helpdesk you already work in.

A flow handles routine queries (order status, return policy, opening hours, rescheduling) with structured replies and buttons. When the conversation breaks the script — keyword unmatched, customer asks "talk to a human", bot confidence drops below threshold — the conversation routes to your shared inbox with full bot transcript pre-loaded. The agent picks up with context, no re-explaining.

Conversations carry assignment, status, and a full timestamped log of who replied and when, so nothing sits unowned. For CSAT, send a templated post-resolution message ("How did we do?") with star buttons; the replies land against the customer's record in the inbox and you can export them. (Formal per-agent SLA-timer dashboards aren't a built-in report today — track response and CSAT from the conversation log and exports.)

WhatsApp Cloud API uses transport encryption between Meta and your server. For genuinely sensitive material (lab reports, financial statements, KYC documents, PAN/Aadhaar copies), the recommended pattern is short-lived signed URLs rather than raw attachments — WhatsMark templates support this out of the box. India-specific: under the DPDP Act, your team is responsible for the consent flow and data-retention policy regardless of the channel; WhatsMark logs every conversation with timestamps to support that audit.

You can connect up to 2 WhatsApp numbers on Free, 10 on Professional, and unlimited on Reseller — one per client — with a named team inbox each. Being straight about today: these run in one workspace with shared reporting, not fully isolated white-label sub-accounts per client; that broader reseller capability is on the roadmap, not shipped.

Meta classifies inbound-initiated support conversations as "service" — Meta's published India rate is from ₹0.30 per 24-hour service window (one rate, regardless of how many messages exchange in that window). WhatsMark adds 0% on top. You pay Meta's rate exactly, billed directly to your Meta Business Account. The platform subscription is separate.

More than most teams expect — the inbox is dominated by a small set of repeat questions. Order status, return and refund policy, opening hours, password resets, rescheduling, "is this in stock" — these are predictable, and a well-built WhatsApp chatbot with AI replies typically resolves 60–80% of incoming queries end to end, with some focused deployments going higher. The point isn't to replace your agents; it's to stop them spending their day on the same five answers. Everything the bot can't confidently handle — a complaint, an edge case, an angry customer, or anything below a confidence threshold — escalates to a human in the shared inbox with the full transcript attached, so the agent picks up mid-context. AI takes the volume; people take the conversations that need a person.
