MESSAGE TEMPLATES

Reach customers anytime, with messages Meta trusts — and they actually read.

The messages WhatsApp lets you send first — order updates, reminders, offers, login codes — to anyone, even outside an open chat. Write one, get it Meta-approved, and send it to thousands with each person's name and details filled in — then see exactly what gets read.

Three things every D2C team already lives with

WhatsApp won't let you message first — unless Meta approved it

WhatsApp keeps businesses from cold-messaging people at random — it's how the channel stays spam-free and customers actually read what lands. The catch: to send an order update, a reminder, or an offer to someone who isn't already chatting with you, the message has to be a template Meta reviewed and approved. Get that part wrong and you simply can't reach your customer at the moment it matters.

You find out about a rejection from a stale email, two days later

You submit a template at 4 PM, brief the campaign, and put it on the calendar. The next night Meta sends a one-line rejection buried in Business Manager, and the campaign owner doesn't see it until Monday. The fix takes ten minutes — finding out it was even rejected took two days, and the launch date is already gone.

The label you pick quietly decides your bill

Every template is Marketing, Utility, or Authentication — and Meta charges a different rate for each. Call something Utility when Meta decides it looks like Marketing, and it gets bumped to the pricier rate, often without you noticing until the monthly invoice lands. Most tools just take your word for the category and move on, so the surprise always shows up after the money is spent.

The four pieces

What you actually need to run WhatsApp marketing at scale

Write it once, send it to everyone by name

Build the message the way your customer will see it — a headline, an image or video, the text, and tappable buttons like Track Order or Talk to Support. Drop in the parts that change per person, so the same template greets Aanya with her order number and greets Karan with his. A live preview shows the exact chat bubble before you submit — no guessing, no surprises when it goes out.

Know the second Meta approves it — or exactly why it didn’t

Submit straight from the editor and watch each template move through the queue: pending, approved, or rejected. When Meta says no, its exact reason sits right there on the row — so instead of digging through Business Manager two days later, you fix the one thing it flagged and resubmit in minutes. The status you see is the real one, synced back from Meta automatically.

Talk to every customer in their own language

Write the same message in English, Hindi, Tamil, Marathi — up to 70 of the languages Meta supports — and submit each one for approval. Every language stands on its own, so one waiting on a fix never holds up the rest. Your Chennai customers read Tamil, your Pune customers read Marathi, and it all lives under one message you manage in a single place.

Carousels, one-tap login codes, and rich media

Go beyond plain text. Build swipeable product carousels that show a whole catalogue in one message, send login codes customers copy with a single tap, and add image, video, or PDF headers to any template. It all uploads to Meta and gets approved inside WhatsMark — you never leave to attach a file or set up an OTP by hand.

Scenario 01 / Festive launch (e-commerce)

One order update, four languages before the Diwali rush begins.

A clothing brand wants its order-confirmation message live in English, Hindi, Tamil, and Marathi before the festive sale. The team writes it once — with an image header and Track Order and Talk to Support buttons — then writes it in three more languages and sends each to Meta. Two are approved within the hour. One comes back rejected over its opt-in wording, and because the exact reason is right there on the queue, they fix it and resubmit in minutes. The approved versions start sending straight away while the last one waits — no single rejection holds up the launch.

  • The same message, ready in four languages, each approved on its own
  • Meta's exact rejection reason shown on the spot — no hunting through Business Manager
  • Fix and resubmit the rejected version without touching the three already live
  • Add a rich image header so the update looks like the brand, not a plain notice

Scenario 02 / The right label saves money (fintech)

Send it as a helpful update, not an ad — and pay the lower rate.

A neobank wants to nudge customers to turn on auto-pay. The first draft — "Don't miss out, turn on auto-pay before the 5th" — reads like a promotion, so Meta bumps it to the pricier Marketing rate and rejects the cheaper Utility submission. The reason lands right on the queue. The team rewrites it around a real event — "Your March statement is ready: Rs.14,217 due by 5 April. Turn on auto-pay to avoid late fees." — and it sails through as Utility. Same nudge, lower cost on every send, and the fix took one edit instead of a mystery on next month's invoice.

  • Meta's verdict and reason shown immediately — not discovered on the invoice
  • Rewrite around a real event, resubmit, and get the lower Utility rate
  • The cheaper category stays cheaper because WhatsMark adds 0% on top of Meta
  • Same result for reminders, alerts, and confirmations that qualify as Utility

Scenario 03 / See what works (D2C)

Find out which message customers actually read — and which one to fix.

A D2C brand runs three updates — order confirmed, order shipped, order delivered. After two weeks the team opens each one and sees the numbers straight from Meta: how many were delivered, how many were read, how many taps the buttons got, and what it all cost. The shipping update is being read but almost nobody taps it, so they rework its buttons. The delivery note is a quiet winner, so it becomes the model for the next campaign. It all sits on the template itself — nothing to export, no separate dashboard to log into.

  • Delivered, read, clicked and cost for every template, straight from Meta
  • Spot the message people open but ignore, and fix its call to action
  • Copy what works into your next template instead of guessing
  • The numbers live on the template, next to whether it's approved and live

FAQ

Common questions, honest answers

Don't see your question? Email me at mailto:[email protected] — I read and answer every one personally.

It's a message Meta has pre-approved, so you're allowed to send it to customers even when there's no open chat — think order confirmations, delivery updates, appointment reminders, offers, and login codes. You write the structure once (a headline, the text, and buttons), Meta approves it, and then you send it as many times as you like with each person's own details filled in. Outside of a template, WhatsApp won't let a business start the conversation — that's the rule that keeps the channel clean.

Build it in the WhatsMark editor — headline, message, buttons — fill in a sample of what the personalised bits look like, pick whether it's a Marketing, Utility, or Authentication message, choose the language, and hit Submit. It goes to your own WhatsApp Business Account for review, and the result comes back into your WhatsMark queue automatically. Most templates get a verdict within a few hours; Meta's limit is 24 hours.

Usually it's a mismatch between what you labelled the message and how Meta reads it (a 'Utility' update that sounds like an ad), a promotional tone where there shouldn't be one, a dodgy-looking link, or missing opt-in wording. WhatsMark shows Meta's exact reason right on the template, so you're not guessing — you duplicate it, fix the one thing, and resubmit in minutes. (To be clear, WhatsMark shows you Meta's decision after the review; it doesn't pre-scan your wording to predict a rejection before you submit.)

Marketing is promotional — offers, launches, win-backs. Utility is helpful and transactional — order updates, reminders, account alerts tied to something the customer did. Authentication is login and verification codes, with one-tap copy built in. It matters because Meta charges a different rate for each, and Marketing is the priciest — so labelling an update as Utility (when it genuinely is one) is a real way to keep costs down, not just paperwork.

Yes — write it in English, Hindi, Tamil, Marathi, and beyond (70 of Meta's supported languages are available) and submit each for approval. Each language is its own approved message, so a hold-up in one never blocks the others, and you send whichever version fits the audience. One thing to know: WhatsMark doesn't auto-detect a customer's language and pick for you — you choose which language version to send.

Yes. Add an image, video, or PDF to the top of a template, or build a swipeable carousel that shows several products in one message — great for a catalogue drop. You attach the sample when you submit for approval, and send the real image or file at send time. It all happens inside WhatsMark; you never bounce out to Business Manager to attach a file.

Yes. Each template has its own numbers — how many were delivered, read, and clicked, and what they cost — pulled straight from Meta over a window you choose. It sits right on the template, next to whether it's approved, so you can tell which messages people actually read, which buttons get tapped, and what each one costs you — without exporting anything.

You run each brand as its own WhatsMark workspace, and each one builds and submits its own templates against its own WhatsApp account. To be straight about it: there's no single 'master' template you write once and push into six client workspaces, and no shared cross-brand approval queue — that kind of agency inheritance isn't built today. The Reseller plan gives you the room to run many client workspaces at once; founding Reseller pricing is on the /reseller page.

No — zero. You connect your own WhatsApp Business Account, and Meta bills you directly at its own rate for whatever category each template falls under. WhatsMark is a flat subscription on top; we don't take a cut of the message fee. So when you pick the right (cheaper) category, that saving lands with you in full.
